Website, sales and service terms for VoiceX customers

These Terms & Conditions apply when you use the VoiceX website, place an order, request a quote, purchase products or services, or engage VoiceX for professional speech recognition solutions, dictation and transcription systems, AI document creation solutions, headsets, conferencing products, support, training or related services.

Please contact VoiceX if you are unsure whether a product, licence, renewal, subscription, headset, microphone, recorder or software solution is suitable for your organisation before purchasing.

Important notice

These Terms & Conditions are intended to explain VoiceX’s general website, sales and service terms. They do not exclude, restrict or modify any rights or remedies that cannot be excluded under applicable Australian or New Zealand consumer protection laws.

1. About These Terms

These Terms & Conditions apply to the VoiceX website, online store, quotations, product sales, software licences, subscriptions, renewals, service requests, support services, training, implementation services and other dealings with VoiceX Communications Pty Ltd.

By using this website, placing an order, accepting a quotation, requesting support or purchasing from VoiceX, you agree to these Terms & Conditions unless a separate written agreement applies.

VoiceX may update these Terms & Conditions from time to time. The current version will be published on this page.

2. About VoiceX

VoiceX Communications Pty Ltd supplies, configures and supports professional documentation technology across Australia and New Zealand. Our products and services may include hardware, software, cloud subscriptions, AI-assisted documentation systems, support, training, technical service and related consulting.

VoiceX is a specialist provider and support partner. Unless expressly stated otherwise, VoiceX does not manufacture or develop the third-party products, software, platforms or cloud services we supply.

3. Orders, Quotes and Product Availability

Orders may be placed through the VoiceX website or by accepting a written quotation from VoiceX. All orders are subject to acceptance by VoiceX, product availability, vendor supply, pricing confirmation and any required account, licence or delivery information.

A website order confirmation or automated email does not necessarily mean an order has been fully accepted, provisioned, dispatched or completed. VoiceX may contact you to confirm product suitability, delivery details, licence information, user details, payment status or account requirements before fulfilling an order.

If a product is unavailable, discontinued, incorrectly priced or unsuitable for the stated use, VoiceX may contact you to discuss alternatives, correct the order, issue a refund where appropriate or provide a revised quotation.

4. Pricing, Payment and Promotions

Prices listed on the VoiceX website are subject to change without notice and may vary depending on product availability, supplier pricing, exchange rates, subscription terms, support inclusions, promotions, bundles or quotation requirements.

Written quotes are valid only for the period stated on the quote. Promotional pricing, discounts, bundles and special offers may be limited by date, quantity, product type, licence type or vendor conditions.

Payment must be received or approved according to the payment terms agreed with VoiceX before goods are dispatched, licences are issued, subscriptions are provisioned or services are performed, unless otherwise agreed in writing.

5. Software, Cloud Services, Licences and Subscriptions

Software licences, cloud subscriptions, AI services, renewals, trials and support plans may be subject to third-party vendor terms, licence agreements, acceptable use policies, hosting terms, privacy terms, data processing terms and subscription conditions.

Some software and cloud products require user details, account setup, vendor provisioning, licence allocation, subscription activation, configuration or implementation planning before access can be issued. Processing times may vary by product and vendor.

Once a software licence, subscription, renewal, trial or cloud service has been issued, activated, provisioned or allocated, cancellation, transfer, refund or amendment may be restricted by vendor terms. This does not limit any rights that cannot be excluded under applicable consumer law.

6. Product Suitability and Customer Responsibility

VoiceX provides product information, advice and recommendations based on the information available to us at the time. Customers are responsible for ensuring that any product, software, licence, hardware device, headset, microphone, recorder or service is suitable for their environment, unless VoiceX has expressly agreed in writing to provide a formal assessment or implementation service.

Compatibility may depend on factors such as operating system, network environment, browser, device permissions, security policies, application versions, third-party systems, user setup, audio environment, account configuration and vendor requirements.

Please contact VoiceX before ordering if you require confirmation of compatibility, product suitability, enterprise deployment, software integration, headset selection or implementation requirements.

7. Delivery, Shipping and Risk

VoiceX ships physical products across Australia and New Zealand using appropriate courier, freight or postal services. Delivery timeframes are estimates only and may be affected by stock availability, dispatch timing, supplier delays, public holidays, courier networks, customs requirements, delivery location or other factors outside VoiceX’s control.

Software licences, cloud subscriptions and renewal products are generally supplied electronically after order processing, payment confirmation and any required account or user information has been received.

8. Returns, Refunds and Change-of-Mind Requests

Returns, refunds, repairs and replacements are assessed according to the product type, condition, manufacturer warranty terms, vendor terms, purchase details and applicable consumer law.

Change-of-mind returns are not automatically accepted and may be declined for opened, used, activated, issued, provisioned, customised, configured, special-order, clearance or hygiene-sensitive products, including some software licences, cloud subscriptions, headsets, microphones and accessories.

Nothing in these Terms & Conditions limits any rights or remedies that cannot be excluded under Australian or New Zealand consumer protection laws. To request a return, please use the Product Return Request page before sending any item back.

9. Hardware Warranties and Repairs

Hardware warranties are generally provided by the manufacturer and may vary by product, model, accessory type, serial number, purchase date and region. Warranty assessment may require troubleshooting, inspection, return-to-base testing, manufacturer assessment, repair or replacement.

Please do not send hardware to VoiceX without first contacting us or submitting a service request. Goods returned without sufficient information may be delayed or unable to be processed.

10. Support, Training and Professional Services

VoiceX may provide technical support, product training, implementation assistance, configuration, consultation, troubleshooting, service coordination and other professional services. The scope of support depends on the product purchased, licence type, support plan, service agreement, vendor terms and any written quote or agreement.

Support does not guarantee that every issue can be resolved, particularly where an issue relates to unsupported hardware, incompatible systems, third-party software, network restrictions, operating system changes, customer configuration, vendor outages or discontinued products.

11. AI, Speech Recognition and Documentation Solutions

Speech recognition, AI transcription, AI scribe and AI-assisted documentation solutions may produce outputs that require review, correction, validation or professional judgement before use. Accuracy may vary depending on audio quality, speaker behaviour, accents, terminology, background noise, microphone quality, software configuration, specialist vocabulary and the nature of the content being processed.

VoiceX strongly recommends appropriate Human-in-the-Loop review for important medical, legal, professional, compliance or client-facing documentation. Customers remain responsible for reviewing and approving final documents before use, submission, filing or distribution.

VoiceX can help customers compare speech recognition, AI transcription and AI scribe solutions to determine which approach best fits their documentation process.

12. Privacy, Security and Customer Information

VoiceX handles customer, order, licence, support and service information in accordance with our privacy practices. Where third-party products, vendors, cloud services or payment providers are involved, additional vendor terms and privacy arrangements may apply.

13. Website Use and Content

The VoiceX website is provided for general product, service, support and purchasing information. While we aim to keep information accurate and current, product details, availability, images, descriptions, pricing, specifications, compatibility information and vendor terms may change without notice.

Website content must not be copied, reproduced, republished or used for commercial purposes without written permission from VoiceX, except as permitted by law.

14. Limitation of Liability

To the extent permitted by law, VoiceX is not liable for indirect, incidental, consequential or special loss, loss of profit, loss of revenue, loss of data, business interruption, loss arising from third-party systems, vendor outages, customer configuration, unsupported environments or use of products outside their intended purpose.

Nothing in these Terms & Conditions excludes, restricts or modifies any guarantee, warranty, right or remedy that cannot be excluded, restricted or modified under applicable law.

15. Governing Law

These Terms & Conditions are governed by the laws applicable in Australia, unless another jurisdiction is required by applicable law or a separate written agreement applies. Customers in New Zealand may also have rights and protections under New Zealand consumer protection laws where applicable.
